Data Import

The Data Import module allows you to import multiple assets, contacts, or telemetry data records at one time using a validated import template supported by Assetas.  The Data Import module also allows you to import forms or inspections in bulk using a pre-mapped import template designed by one of our partners. Any item in the system that may be downloaded (in the form of a JSON file) may also be imported via the Data Import module, without an import template.

Supported import templates

Assetas provides import templates for assets, contacts, manufacturers and models, telemetry tags, and telemetry data records.  Navigate to the following pages to download the templates and read the instructions for use.

Import asset types and assets simultaneously.

Import staff, vendors, companies, and contractors.

Import manufacturers and models, based on asset types.

Import telemetry tags to automatically capture telemetric data.

Import telemetry data to track asset performance.

Best Practices

  • Review the instructions on the first tab of each template.

  • Match the columns provided exactly; do not delete or add any columns.

  • Match the data formats specified in the template.

  • Ensure all required fields, noted with an asterisk (*), are populated.

  • Save the file to your computer with a clear name prior to import.

  • Do not delete the file immediately after import; use the file to troubleshoot and/or validate that the import was successful.

Steps for bulk import
  1. Once you have a completed template ready for import, save it to your computer.

  2. Close the file prior to import.  (The import will fail if the file is open.)

  3. Launch Assetas.

  4. Expand the "Configuration" menu on the sidebar navigation.

  5. Select the "Data Import" menu.

  6. Drag and drop the import template file into the designated area on the Data Import page. Dropping the file here will immediately schedule the file for processing. You'll see a confirmation message in the lower right corner of your screen that the import has been scheduled for processing.

  7. You will receive a summary email once the import has completed processing, which will include the processing time and the number of rows of data that were successfully processed, ignored, or resulted in errors. View the detailed import log information by clicking the link in the email.

Data import validation tools

There are several tools built into the system to enable you to validate your import processes:

  1. Select the link in the import summary email to view the detailed import log information.

  2. At the bottom of the Data Import page, select the "View Data Imports" button to view detailed information on your import history.  From this page, you'll see any imports that are scheduled for processing and a list of all previous data import attempts, along with the start date, end date, file processed, and processing statistics.

  3. Under the Actions menu, you may view the detailed import log for each imported record.  This tool may provide additional information on any rows that were ignored or resulted in errors. You have the option to download the data import file processed in each import and delete the data import log information.

  4. Verify that your imports have processed as expected by checking the data in the database against your import file.

JSON files

Within one account of Assetas, a user can export a JSON file that can be imported into another account using the Data Import tool. If using the Data Import tool to update existing items, please note that updates will only be made if External Identifiers are present and matching in both the target item and new item (with the exception of Form Type JSON files). Existing Form Types must be edited in place and cannot be updated via JSON file import.

This tool is intended for users to import files exactly as exported; Assetas does not support importing adjusted exported JSON files.

Please consult the following flow chart for the ordering of processing JSON files via Data Import as there are dependencies between the file types. Review the Log Details post-import to confirm the import results and review any missing dependencies.
